This position performs a wide variety of Deposit Operations administration functions including: balancing & reconciling, ATM & Debit Card disputes & fraud review, exception item processing, check adjustments, returned mail, processing of summons, subpoenas, & search warrants, garnishment & levy processing, various review and/or remittance functions, dormant account activations, other miscellaneous maintenance. This position requires direct interaction with internal bankers.  It is responsible for ensuring a positive customer experience through team collaboration and the delivery of quality customer service.

  • Completes balancing of daily and other periodic general ledger and internal account reconcilements.

  • Monitors daily ATM & Debit Card fraud alerts and reports as needed.

  • Processes ATM & Debit Card customer-initiated and bank-initiated disputes.

  • Completes daily Exception Item Processing functions:

    • Works the DDA, Savings, and General Ledger non-post items daily.
    • Performs daily review of stop payment suspect list for hits and processes returns accordingly.
    • Performs overdraft processing (outgoing returns) daily.
    • Completes Positive Pay process and returns customer checks as needed.
    • Reviews ACH Memo-Post Register & Invalid Pre-Notes Report daily & processes Notifications of Change (NOCs)
    • Processes all incoming & outgoing ACH return items and related NOC’s.
    • Processes daily all incoming and outgoing notifications for Large Dollar Returns.
    • Processes daily all incoming return items (chargebacks/re-deposits).
    • Processes ACH Death Notifications and ACH/check reclamations
  • Ensures daily file creation of customer notices for NSF’s/overdrafts, chargebacks, creditbacks, and re-deposited returns; prints & mails check chargeback notices.
  • Contacts bankers via phone, e-mail or fax to report exception item issues as needed
  • Enters and maintains exception processing messages for customer-specific chargeback instructions.
  • Processes Garnishments & Levies.
  • Processes check adjustments on customer accounts and between banks.

  • Processes and monitors customer Returned Mail.

  • Reviews New Stop Payment report & monitors receipt of stop payment forms.

  • Completes system set-ups & maintenance on accounts and/or customer records (sweeps, Account Analysis exception pricing, customer information changes, etc.).

  • Completes summons, subpoena and search warrant requests as assigned.

  • Completes the monthly interest withholding reconciling & remittance.

  • Monitors Reg D letters and reports Reg D violations monthly.

  • Completes the quarterly Canadian Currency Re-Valuation process.

  • Annually completes Unclaimed Property reporting and remittance.

  • Processes incoming and outgoing check collection requests as received.

  • Prepares without-entry letter requests to other banks as needed and monitors for resolution.

  • Completes account verification requests.

  • Reviews the daily Activity on Dormant Accounts report to ensure proper procedures followed.

  • Processes collection company invoices/payments.

  • Sets up Automatic Fund Transfers (AFTs) and maintains Automated Clearing House (ACH) transfers for customer accounts.
  • Processes signed dormant activation forms received from customers and bank locations.

  • Reviews monthly & other periodic reports and performs clean-up maintenance as needed.

  • Performs other duties as assigned by the Transaction Services Supervisor and/or Manager of Deposit Operations. 



Education and Experience

  • High school diploma or equivalent required.
  • 3+ years of banking experience required.

Other Knowledge, Skills, and Abilities

  • Ability to read, analyze and interpret banking reports.
  • Accurate ten key skills using a calculator or PC for addition, subtraction and account balancing.
